# Email account and mailbox setup

Connect mailboxes to INSIDE and choose the sending identity and default account for email tickets.

*Release 3.3 · admin, operator*

**Settings › Email › Email Accounts**

## What it is

**Email Accounts** connects incoming mailboxes and outgoing sending identities to INSIDE. Each account can belong to a subsite and have its own connection details, branding and survey selection. Powerfront manages these connections for you.

## Who uses it and why

- Administrators arrange mailbox access, sender identities and defaults with Powerfront.
- Operators select an available **Send From** account and report connection or credential warnings.

## Where to find it

Powerfront manages **Settings › Email › Email Accounts**. Ask Powerfront to add or change an account, test a connection or renew credentials.

Operators see available accounts in **Send From** when creating or replying to a ticket.

## How it works

Incoming mail uses the configured receiving account. Its **Subsite** affects the customer's placement for routing. When you create a ticket with an account assigned to a subsite, that mailbox's subsite takes precedence for the new email ticket.

For initial sender selection, the ticket form prefers an enabled **Subsite Default**, then the enabled **Global Default**, then the first available enabled account. Existing tickets can retain their selected sender. Available choices can also be restricted by subsite, and changing the sender depends on the email reply settings.

Saving a new **Global Default** removes that flag from competing website accounts. **Subsite Default** requires a selected subsite and replaces competing defaults for that subsite.

## Configure it

Give Powerfront the mailbox identity, receiving and sending requirements, subsite and preferred defaults through your agreed secure process. Powerfront selects the integration and authentication options, enters server and folder details where applicable, and uses **Test Email** to check the connection.

The default connection offers **IMAP** or **POP3** receiving settings and outbound server settings. **MS Graph** has its own credential options. **Use Alternative Outbound Credentials** allows a separate outgoing connection where supported. **Reply-To Email Address** can direct customer replies to a different address.

Ask Powerfront to maintain **Credentials Expiry Date**. When an uploaded certificate exposes its expiry and no date was supplied, INSIDE can derive the date. Recorded expiry can trigger notifications within 30 days, with warning severity at seven days and critical severity at one day or less.

## Limits and good to know

- A disabled account is excluded from normal sender choices.
- Incoming access and outgoing sending are separate connection concerns. A successful connection test does not prove delivery to every destination.
- A different **Reply-To Email Address** does not change the displayed sending account.
- Credential-expiry notices depend on a recorded expiry date. A missing notice does not establish that authentication is healthy.
- Ask Powerfront to change **Reply Break Text**; its wording also affects other accounts on the website.

## FAQ and troubleshooting

### Why is the expected sender missing?

Ask Powerfront to check that the account is enabled and that subsite restrictions permit it.

### Why does the form choose a different mailbox?

The applicable **Subsite Default** takes priority over **Global Default**. An existing ticket may retain its sender.

### Why do replies arrive at another address?

Ask Powerfront to check **Reply-To Email Address** and any configured operator email alias.

### What should I do about an expiry warning?

Ask Powerfront to renew the credentials and test the account. The warning concerns the recorded expiry, which is separate from a delivery error.
