# Report downloads and email sharing

Download or email report results as CSV or Excel, with the selected columns, filters and metric legend.

*Release 3.3 · admin, developer, operator, supervisor*

**Reports › Share Report** · **Service Overview › WFM** · **Service Overview › Missed Opportunities**

## What it is

**Share Report** lets you download standard report results or email them to yourself. Choose CSV or Excel output. The output carries report context, including filters and column descriptions, so you can interpret it outside INSIDE.

## Who uses it and why

- Operators share or retain results they can access.
- Supervisors review activity in a spreadsheet and distribute findings through their usual process.
- Administrators check the reporting scope and account used for an export.
- Developers use downloaded data when checking recorded integration activity.

## Where to find it

Open and run a report in **Reports**, then select **Share Report**. The menu offers **Download CSV**, **Download Excel**, **Email CSV** and **Email Excel**.

**Service Overview › WFM** and **Service Overview › Missed Opportunities** have separate **Export to Excel** and **Export to PDF** controls. The dashboard's **Export to Excel** control downloads CSV.

## How it works

1. Choose the website, report and filters, then select **Apply Filters**.
2. Check the visible columns and their order.
3. Open **Share Report** and choose a download or email format.
4. If prompted, enter the six-digit code sent to your registered email. Select **Verify & Download** or **Verify & Email**.
5. Save the downloaded file or check your account's email inbox for the attachment.

Email actions send the report to the logged-in operator's account email address. They do not open a recipient list.

Standard output includes the report title, filter information, selected columns and results. Totals, averages and a **Report Legend** are included where the report supplies them. Standard paged reports are exported through successive result pages, rather than only copying the currently displayed page.

## Configure it

Choose filters and columns before exporting. These selections determine the report requested for the output.

Check your account email at **Settings › Account › My Account** if verification or report emails are going to an unexpected address. Ask someone with the **Settings** or **Manager** role to change the address at **Settings › Account › Operators** if needed.

Use **Email CSV** or **Email Excel** whenever you need an on-demand email. This workflow does not set up recurring delivery.

### Permissions

| Permission | Lets you |
|---|---|
| Reports | Access the reporting workspace and its available sharing actions. |

## Limits and good to know

- A disabled sharing action requires report results before it can proceed.
- Repeated incorrect verification codes can lock exports temporarily. Follow the message shown by INSIDE.
- Excel cells longer than 32,767 characters continue on extra rows. Other values appear on the first row, with blank cells beside the continuation text. Physical worksheet rows can therefore exceed the number of records.
- The report row selector's **All** choice is not an overall export limit.
- PDF support is specific to certain screens, including the WFM and Missed Opportunities dashboards and survey results. The standard **Share Report** menu offers CSV and Excel.
- QA printing is a separate workflow. **Print Report** is not an available standard sharing action in this release.

## FAQ and troubleshooting

### Can I email the report directly to another person?

**Email CSV** and **Email Excel** send it to your own account email. Download the file or forward the received report using your normal sharing process.

### Why am I being asked for a code?

Export verification checks your registered email before releasing the report. Enter the code from the email in the verification prompt.

### Why are there more spreadsheet rows than reported records?

Long text can span continuation rows. Totals, averages and the legend also add rows outside the data records.

### Why did Export to Excel produce a CSV file?

The dashboard-specific **Export to Excel** control produces CSV. Standard **Reports › Share Report › Download Excel** produces an Excel workbook.

### Can I schedule this report to arrive every week?

The documented sharing workflow sends email on demand. Ask Powerfront about any separate delivery arrangement for your account.
