What it is

INSIDE accepts updates from its media service when video processing progresses or a recording is ready for download preparation. It can also receive the result of an external form embedded in a chat workflow. These updates let an existing process continue without an operator entering the result manually.

Who uses it and why

Developers work with Powerfront to connect an embedded form to a workflow. Operators see the resulting video status or workflow progress. Visitors complete the external step within their chat experience.

Where to find it

There is no callback-management screen. The Settings role grants access to related files through Settings › General Settings › File Library, and the Live Shows role grants access to live-show recordings through Settings › Live Shows › Past Shows.

The video owner's Auto Approve Private Videos permission is under Video Feed when editing the operator's permissions in Settings › Account › Operators. The Settings and Manager roles can see this screen, subject to the account's permissions and editing restrictions. Embedded forms appear in the workflow that uses them.

How it works

When the media service reports a processing update, INSIDE updates the associated file. A ready video that is still processing can move to In Review or receive automatic approval. Automatic approval applies to private videos when the owning operator has Auto Approve Private Videos. The callback can also send a live file update to that operator.

For a supported live-show recording, a ready update can start download preparation. This callback does not start another initial download request when the recording already has a download URL.

An embedded form returns its result using a short-lived token associated with the website, visitor and chat. INSIDE checks that the token is no more than five minutes old, that the visitor is still available and that the chat is open. The website's configured integration processes the result before INSIDE submits the resulting status to the workflow.

The workflow then follows its configured next action. Submitting a result does not always end the whole workflow.

Configure it

Ask Powerfront to configure the callback connection and the result-processing behaviour for your embedded form. Agree which outcomes the form returns and how the workflow handles each outcome.

An administrator with the Settings role and permission to manage operators can review Auto Approve Private Videos for the video owner. This controls approval after processing; it does not make processing finish sooner.

Permissions

Permission Lets you
Settings Allows access to File Library and Operators, subject to the account's permissions and editing restrictions.
Manager Allows access to Operators, subject to the account's permissions and editing restrictions.
Live Shows Allows access to Past Shows.
Auto Approve Private Videos Allows a private video owned by the operator to be approved automatically when processing finishes.

Limits and good to know

  • The embedded result token expires five minutes after creation. An open chat alone does not extend it.
  • A departed visitor, closed chat or workflow that can no longer accept the result prevents normal completion.
  • During platform maintenance, these callbacks return a maintenance result.
  • A media callback's success response does not by itself prove that a file was found, approved or downloaded. Check the resulting file or recording state.
  • These callbacks serve particular media and workflow integrations. There is no general webhook subscription editor for them.

FAQ and troubleshooting

Why does the embedded form report that its token has expired?

More than five minutes have passed since the token was created. Restart the external step through the configured workflow so it receives a fresh token.

Why does a result fail even though the form completed?

The visitor may have left, the chat may have closed or the workflow may no longer accept that result. Check the conversation and current workflow step before repeating the submission.

Why is a ready video still waiting for approval?

Finishing processing and approving content are separate actions. Check the video's visibility and the owner's Auto Approve Private Videos permission. Ask Powerfront to investigate if the state does not update.

Why is the recording not downloadable immediately?

A ready callback can begin download preparation. It does not mean the downloadable recording is already available.

Can I connect any webhook sender here?

Ask Powerfront to confirm the supported integration. These callbacks expect particular media updates or an embedded workflow result.
